KRIEGER BOOKS — PRIVACY POLICY
Effective Date: November 1, 2026 Last Updated: November 1, 2026
Krieger Books LLC ("Krieger Books," "we," "us," "our") provides bookkeeping services to online storefronts and other small businesses. This Privacy Policy explains what information we collect, how we use and protect it, and the choices you have. It applies to information we collect through our website (https://krieger-books.com), through our client platform (https://login.krieger-books.com, the "Platform"), through our estimate request form, and while providing services to clients.
Because we provide bookkeeping services, Krieger Books is treated as a "financial institution" under the Gramm-Leach-Bliley Act (GLBA). We maintain an information security program consistent with the FTC Safeguards Rule.
1. Information We Collect
Information you give us directly:
- Contact and business information: your name, business name, email address, phone number, business type, Etsy shop name, and the details you include in an estimate request (how your books are set up, transaction volume, number of accounts, and whether you use a dedicated business bank account).
- Account information: the name and email address used for your Platform login, and your password, which we store only as a one-way cryptographic hash (we cannot see or recover it).
- Financial records: the bank and credit card statements you send us each month (including account names, the last digits of account numbers, transaction dates, descriptions, and amounts), along with receipts, invoices, loan documents, and similar records, plus any prior-year balances you provide when we set up your books.
- Tax estimate information (Plus plan only): filing status, state, other household income, spouse withholding, estimated tax payments made, and prior-year tax and adjusted gross income figures, used to run the tax estimate calculator.
- Tax preparation information: only if you separately engage us to prepare tax returns. This may include Social Security numbers, EINs, and prior returns. The tax estimate calculator does not ask for Social Security numbers.
Information from your Etsy shop:
When you connect your Etsy shop, you authorize read-only access through Etsy's official API. We receive your shop details, listing information, orders and receipts (which may include buyer names and order details), and your Etsy payment account ledger (sales, fees, refunds, shipping labels, taxes, and payouts). We cannot change your shop, listings, balances, or payouts. We store the Etsy access token in encrypted form and never see your Etsy password.
Information collected automatically:
- Website and Platform logs: standard technical data such as IP address, browser type, the pages you visit, and the time of each request, collected by our servers and our network provider (Cloudflare).
- Cookies: the Platform uses a single, strictly necessary session cookie to keep you signed in, plus security protections against cross-site request forgery. We do not use advertising or tracking cookies, and neither our website nor the Platform uses third-party analytics.
- Activity records: the Platform keeps an audit log of significant actions (for example, sign-ins, posted or reversed entries, and settings changes), with the user who took each one, for accuracy and security.
- Fonts: our website loads typefaces from Google Fonts, so your browser contacts Google's servers, which receive your IP address.
We collect only the information reasonably needed to provide our services. We do not alter the substance of the financial records you provide; we record and categorize them to maintain your books.
2. How We Use Your Information
We use your information to:
- Keep your books: record and categorize transactions, reconcile Etsy and bank activity, and prepare financial reports, forecasts, and KPIs;
- Run the tax estimate calculator for Plus plan clients;
- Respond to inquiries and prepare service estimates;
- Communicate with you about your engagement, invoices, and service updates;
- Operate, secure, and back up the Platform, and prevent fraud and unauthorized access;
- Improve how we code transactions for your books. For example, the Platform learns from how your transactions have been categorized before. Where we use what we learn across clients to improve our service, we use categorization patterns (such as which kind of Etsy charge belongs in which account), not your identifiable financial details; and
- Maintain our own business records and comply with legal, regulatory, and professional obligations.
We do not sell your personal or financial information, and we do not share it for third-party advertising or marketing.
Etsy data is used only to keep your books and deliver our services to you. It is not sold, not shared for marketing, and not used for any purpose unrelated to your engagement. The term "Etsy" is a trademark of Etsy, Inc. This application uses the Etsy API but is not endorsed or certified by Etsy, Inc.
3. AI-Assisted Processing
We use automated tools, which may include artificial intelligence, to suggest how transactions should be categorized. Where AI is enabled, portions of your transaction data (such as statement descriptions, amounts, and dates) may be processed by large language model services provided by Anthropic (Claude) through its commercial API. Under Anthropic's commercial terms, API inputs and outputs are not used to train its models.
AI tools only suggest categories; they do not calculate the figures in your reports. Every result is reviewed under the supervision of Krieger Books before it reaches you, and we remain responsible for the accuracy and confidentiality of our services. If you would like AI processing turned off for your account, contact us.
4. When We Share Information
We share information only as needed to run our business:
-
Service providers: technology providers that support service delivery, currently:
- Etsy — the source of your shop data, under the read-only access you authorize;
- Anthropic — AI processing, where enabled (Section 3);
- Cloudflare — domain, network, and secure connection services for our website and Platform (traffic passes through Cloudflare's network on its way to our servers);
- Google — Gmail for email and file exchange, and Google Fonts for our website. These providers are bound by contractual or published data-protection obligations. Your books, documents, and the Platform's database are stored on servers operated by Krieger Books, not by a third-party accounting service.
- Legal and regulatory: when required by law, subpoena, court order, or professional standards, or to protect our legal rights.
- Professional support: where necessary, with professional advisors (for example, legal counsel or our insurer) bound by confidentiality.
- Business transfer: in connection with a sale or reorganization of our practice, subject to confidentiality protections and applicable professional standards.
Tax return information. If we separately prepare tax returns for you, we use and disclose your tax return information only as permitted by Internal Revenue Code §7216 and its regulations. Any use or disclosure that requires your consent will be requested separately in writing.
5. How We Protect Your Information
We maintain administrative, technical, and physical safeguards designed to protect client information, consistent with the FTC Safeguards Rule, including:
- Encrypted (HTTPS) connections to our website and Platform;
- Passwords stored only as one-way hashes, and Etsy access tokens stored encrypted;
- Read-only Etsy access; we never ask for or store your Etsy or bank passwords;
- Database-level separation so that each client can access only its own books;
- Access limited to the people and systems that need it to deliver services, with an audit log of significant actions;
- Regular backups; and
- Periodic review of our security practices and service providers.
No method of transmission or storage is completely secure. We cannot guarantee absolute security, but we take our safeguarding obligations seriously and will notify affected clients of a security incident as required by law.
6. Data Retention
We keep client records for as long as needed to provide services and to meet legal, regulatory, and professional recordkeeping requirements: generally seven (7) years for financial and tax records, or longer where required. After an engagement ends, you may request an export of your books (see our Terms of Service). Nightly backups are kept for about thirty (30) days and then deleted automatically. Estimate requests from people who do not become clients are kept for eighteen (18) months and then deleted or anonymized.
7. Your Choices and Rights
- Access and correction: You can see your books and reports in the Platform at any time, and you may request a copy of the information we hold about you or ask us to correct inaccuracies.
- Your Etsy connection: You may disconnect Etsy at any time from the Platform or from your Etsy account settings. Disconnecting stops new data from being collected; data already recorded in your books stays there as part of your financial records.
- AI processing: You may ask us to turn off AI-assisted categorization for your account.
- Marketing communications: You may opt out of non-essential communications at any time.
- Deletion: You may request deletion of your information. We will delete what we are not required to keep by law or professional standards.
Depending on where you live, you may have additional rights under state privacy laws. Information we handle as a GLBA-covered financial institution is generally exempt from state consumer privacy laws such as the Colorado Privacy Act, but we follow the practices described in this Policy for all clients regardless.
To exercise any of these rights, contact us at [email protected].
8. Children
Our services, website, and Platform are intended for businesses and adults. We do not knowingly collect information from children under 13.
9. Changes to This Policy
We may update this Privacy Policy from time to time. The current version will always be posted at https://krieger-books.com/privacy with its effective date. We will notify active clients directly of material changes.
